ABOUT THE POSITION:
CEC is seeking a highly motivated, reliable, tech-savvy professional with an interest in nonprofit finance and development operations, as a Development Coordinator. This position is responsible for coordinating daily operations in our Development Office to advance CEC’s ability to build, grow, and sustain strong and effective relationships with donors.
The Development Coordinator reports to the Director of Development and provides critical support in maintaining an accurate and efficient donor database and gift acknowledgement process. This person is responsible for tracking, processing, acknowledging, and reporting all charitable contributions received by the Community Environmental Council. In addition, this person provides general support of all development functions, including event planning, budget tracking, donor research, moves management, and file maintenance, among other activities critical to supporting a high functioning development office.
PRIMARY RESPONSIBILITIES:
- Support Development Office revenue goals by managing and enhancing the donor prospect system (Moves Management) across various platforms, such as Asana, Google Sheets, and Raiser’s Edge.
- Coordinate workflow of data entry and gift processing, including creating and updating donor profiles and records, coding and posting gifts, processing donor acknowledgements, and creating and maintaining documentation and reports.
- Oversee CEC's donor information, utilizing Blackbaud Raiser’s Edge, ensuring data accuracy and effective use. Collaborate with Raiser’s Edge customer support and consultants as needed to optimize the database.
- Grow, clean and segment the donor database to maximize performance of fundraising appeals and campaigns. This includes performing list pulls and creating reports.
- Coordinate integration with third-party systems, such as HubSpot, MailChimp, QuickBooks, and other integrations, as needed to ensure that they are functioning correctly and seamlessly.
- Collaborate with other CEC teams, including Programs, Communications & Marketing, and Finance, to coordinate database administration, integration, integrity, and analysis.
- Generate metrics and reporting for annual giving, campaign pledges, legacy giving, and special events.
- Maintain accurate donor records, including regularly reviewing and updating records of CEC’s major donors, leadership donors, Board of Directors,
- President’s Council, Livable World Legacy Society members, corporate donors & partners, foundations, and community partners.
- Maintain CEC’s check log, which includes donations received offline (checks or cash) as well as wire (EFT) donations. Ensure that gifts are posted accurately in the check log as well as the CRM, and that gift correspondence (award letters, check memos, gift acknowledgement letters, etc.) are consistently documented and saved to CEC’s central database (Microsoft One Drive) and uploaded to the donor’s CRM profile.
- Assist with the planning, executing and staffing of donor appreciation events, receptions, Board alumni gatherings, Livable World Legacy Society meetings, CEC’s annual fundraiser, the Green Gala, and other constituent events led and managed by the Development Office.
- Must be able to lift and carry items weighing up to 25 pounds on occasion (less than 10% of time)
- Coordinate and support other assigned projects within the Development Department.
This position will be based out of our office in Santa Barbara, California, and is eligible for hybrid schedule of 60% of time in office and 40% of time working remotely.
Requirements
SKILLS AND QUALIFICATIONS:
- Proficiency with software applications and a willingness to learn CEC’s donor databases and systems (Raiser’s Edge, Excel worksheets, HubSpot, Google Sheets, Asana), including ability to trouble shoot system failures and ability to build reports and dashboards.
- Strong attention to detail and accuracy in recording, tracking and issuing information with a persistence to produce error free work.
- Demonstrated ability to organize, plan, and carry out activities to meet specific timelines and goals on multiple initiatives.
- Ability to maintain confidential information.
- Strong interpersonal communication skills and the ability to work effectively with a wide variety of people.
- Ability to work nights and weekends, as required, to support Development events.
